Tree Service Invoice Template (Free Excel and PDF)

Templates · 4 min read

A tree service invoice template lists the work you did, the price for each line, the deposit you already received and the amount the customer still owes, with a due date and a way to pay. Download ours as an Excel file or a printable PDF. It is free, and you do not need to sign up.

A filled tree service invoice on one page: work done, totals, deposit received and an amount due of $1,580.00

The Excel file has three sheets. Invoice is blank. Example is the filled invoice you see above. Invoice log keeps one row per invoice and shows which ones are open, paid or overdue. Line totals, tax, total and amount due work out on their own. The PDF is the same blank invoice on one page, to print and fill in by hand.

Need the document that goes out before the job? Use the tree removal estimate template. This page is for the bill you send after the work is done.

What a tree service invoice must include

These are the parts of the template, and why each one is there.

Tree service invoice example

This is the filled example from the Excel file. It is the same job as in our estimate example: an oak removal with stump grinding accepted as an extra. All names and prices are made up. Use your own rates.

Remove oak: climb and rig1$1,200.00$1,200.00
Chip brush and haul away1$250.00$250.00
Haul away logs1$150.00$150.00

Total$1,780.00
Deposit received 2026-10-20$200.00
Amount due by 2026-11-11 (Net 14)$1,580.00

Payment: check payable to Green Crown Tree Care, Zelle, bank transfer or card. Late fee: 1.5% per month on amounts unpaid after the due date. Notes: work done as written in estimate 1042, photos of the finished site attached.

From estimate to invoice

The invoice should look like the estimate the customer signed. Copy the accepted lines over, mark the optional extras the customer said yes to, and leave out the ones they declined. If the crew did extra work on site, add it as its own line and write why, for example "second leader found rotten, removed on request". A line the customer did not expect is the first thing they question.

Then subtract the deposit. Write the date it was received. The amount due is the number the customer looks for, so the template prints it in bold at the bottom of the totals.

Payment terms that get you paid

Tree removal, trimming and stump grinding invoices

Use the same file for a tree removal invoice, a tree trimming invoice or a stump grinding invoice. Replace the work lines. For trimming, use lines such as crown reduction, deadwooding, crown cleaning or a price per tree. For stump grinding, write the stump width and the depth below grade on the line, so the customer knows what was done. Keep the rest: invoice number, deposit, amount due, due date and payment details.

Sales tax on tree work

Whether you charge sales tax on tree removal or trimming depends on your state. Some states tax it as a service, some do not, and some tax only certain work. Ask your accountant once, then put the rate in the tax rate cell. The template calculates the tax and adds it to the total.

When a spreadsheet is not enough

A spreadsheet works for a few invoices a month. With more jobs, you retype the same lines from the estimate, forget which deposits came in, and cannot see which jobs are still waiting for payment. ArbTask keeps every job on one board, from quote to invoiced, with the accepted quote and the crew hours attached, so you have the numbers when you invoice. Every feature is free while you have fewer than 5 active jobs, see pricing.

Questions

What should a tree service invoice include?

Your business name and contact details, the customer and the job address, an invoice number and date, each line of work done with its price, subtotal, tax, total, any deposit already received, the amount due, the due date, and how to pay.

When should I send the invoice for a tree job?

The same day the job is finished, while the customer still sees the clean site. Send photos of the finished work with it. Invoices sent weeks later get paid later and get more questions.

Do I charge sales tax on tree service?

It depends on your state. Some states tax tree removal and trimming as a service, others do not, and some tax only certain work such as landscaping. Check your state rule and fill in the tax rate cell. The template calculates tax from the rate.

What is the difference between a tree service estimate and an invoice?

The estimate goes out before the job and says what the work will cost. The invoice goes out after the job and asks for payment for the work that was done. The invoice refers to the estimate number and subtracts any deposit the customer already paid.

Is this tree service invoice template really free?

Yes. Download the Excel file or the printable PDF. You do not need to sign up or give an email address.
